Email Policy

1. Overview

STL Masons Supply Co., LLC (“STL Masons,” “we,” “us,” or “our”) is committed to responsible email practices. This Email Policy describes what email you may receive from us, how we obtain and manage email addresses, how we handle unsubscribes and abuse complaints, and how we comply with the U.S. CAN-SPAM Act (15 U.S.C. § 7701 et seq.), the Canadian Anti-Spam Legislation (CASL), and the EU General Data Protection Regulation (GDPR) as they relate to commercial and transactional email.

2. Types of Email We Send

  • Transactional email. Order confirmations, shipping notifications, delivery notifications, invoice delivery, monthly statements, custom jewel design proof PDFs, sizing confirmations, and account maintenance messages sent to active lodge accounts. Transactional email is triggered by a specific customer interaction and is not marketing email under CAN-SPAM.
  • Operational communications. Production status updates on custom orders, freight coordination for lodge furnishings shipments, and product spec clarifications sent during an active order.
  • Product bulletins and Grand Lodge notices. Occasional notifications about new regalia lines, Grand Lodge-authorized products, seasonal ordering notes (installation season), and product spec updates. Subscribers must have explicitly opted in through a confirmed double opt-in flow.
  • Regulatory and compliance notices. Tax-exempt certificate reminders and Grand Lodge documentation requirements sent to lodge account holders.

We do not send bulk marketing email to purchased, rented, or scraped lists.

3. How We Obtain Email Addresses

Email addresses in our systems come from:

  • Lodge account holders. Worshipful Masters, Secretaries, Treasurers, and other authorized lodge officers who submit an account application. The application itself serves as the consent record.
  • Explicit opt-in via web form. Prospects who submit a quote request or general inquiry at https://stlmasons.com/contact. The form includes an unchecked opt-in checkbox for product bulletins with a double opt-in confirmation email.
  • Custom jewel inquiries. Individuals and lodges who contact us for a custom jewel or presentation piece consultation.
  • Grand Lodge officer records. Publicly-published Grand Lodge officer directories, used only to contact a specific officer regarding a specific lodge inquiry. Not for marketing.
  • Trade show contacts. Business card exchanges at Masonic supply industry events, Grand Lodge annual communications, and lodge officer installations where our identity is disclosed at the time.

We do not purchase, rent, harvest, or scrape email addresses.

4. Unsubscribe and Opt-Out

  • Every marketing, bulletin, and non-transactional email we send includes a functional one-click unsubscribe link in the footer.
  • Unsubscribe requests are processed within 10 business days as required by the CAN-SPAM Act. In practice, our system honors unsubscribes within one hour.
  • To unsubscribe from all non-transactional email, visit our Unsubscribe page or email unsubscribe@stlmasons.com with “UNSUBSCRIBE” in the subject.
  • Transactional and operational messages relating to an active lodge account or order are required for the performance of the underlying contract and cannot be unsubscribed while the account or order is active. Once the account is closed and any final invoices are settled, transactional messages stop.

5. Sender Identification

Every commercial email we send includes:

  • A clear identification of STL Masons Supply Co., LLC as the sender
  • A truthful, accurate subject line
  • Our physical address (11122 Olive Blvd, Suite 200, Creve Coeur, MO 63141)
  • A working reply-to address
  • A one-click unsubscribe link (marketing/bulletin messages only)
  • A link to this Email Policy

We do not use deceptive header information, false or misleading sender identities, or misleading subject lines.

6. Complaint Handling

  • Complaints and abuse reports may be sent to abuse@stlmasons.com (monitored per RFC 2142) or postmaster@stlmasons.com.
  • All abuse complaints are reviewed within 24 hours of receipt on business days.
  • Feedback loop (FBL) complaints from major mailbox providers (Yahoo, Microsoft, Google, Comcast, and others) are processed automatically and result in immediate removal of the complaining address from all non-transactional email streams.
  • A complaint against a transactional message will be reviewed manually and the account contacted to reconcile.

7. Data Retention for Email Records

  • Consent records (source of opt-in, timestamp, originating IP address, and the specific form or interaction used) are retained for the life of the subscription plus three (3) years.
  • Unsubscribe records are retained indefinitely on our suppression list.
  • Complaint records are retained for five (5) years for compliance audit purposes.

8. Authentication

  • We publish and maintain SPF, DKIM, and DMARC DNS records for the stlmasons.com domain.
  • DMARC aggregate reports are received and monitored at dmarc@stlmasons.com.
  • Our current authentication configuration is available on request via postmaster@stlmasons.com.

9. Third-Party Email Providers

We use third-party email service providers (Mailgun, Amazon SES, Postmark, or a comparable transactional email service) for delivery of transactional and operational email. These providers are bound by data processing agreements consistent with GDPR and CCPA where applicable. Provider selection is reviewed annually.
